Chapter 7 of 21

Catalog

The catalog is data from SupplyPoint: items, item groups, employees (SupplyPoint users who take items from the machines) and employee groups. The lists show the copy from the last synchronization.

Items

  • List or Grid view (with pictures), search by name.
  • The item page shows cost, quantity and number of withdrawals over 30 days, Stock in the machines and Recent withdrawals. The Item cost report button opens the report.

Item groups, employees, employee groups

  • Item groups and Employee groups: lists of groups with search by name or number. Click a group to edit it.
  • Employees: list with search by name. The employee page shows costs and withdrawals over 30 days, Withdrawal history and the employee's Withdrawal limits. The Employee cost report button opens the report.

Adding, editing and deleting

  1. To add: click Add item, Add item group, Add employee or Add employee group. To edit: open the item or employee and click Edit. Edit a group by clicking it in the list.
  2. In Agents, tick the agents where the change should be saved. When editing, the agents that already have the record are ticked. An agent marked Agent offline gets the change only when it is back online.
  3. Fill in the fields:
    • item: Item number, Name, Group (an item belongs to one group), Picture (JPG, PNG, GIF or BMP up to 10 MB, replaces the current one), Brand, Unit cost;
    • employee: Employee number, Full name, Cost center, Groups (an employee can be in many groups);
    • group: Group number and Group name.
  4. Click the save button. A message confirms on how many agents the change was ordered.

The number of an existing record cannot be changed.

To delete: in the edit window click Delete and confirm. What happens:

  • an item is removed from SupplyPoint with its machine, compartment and limit assignments; an item still in stock cannot be deleted;
  • an item group is removed, its items are left without a group, and the group's limits and restrictions are deleted;
  • an employee is removed with group memberships, limits and machine assignments;
  • an employee group is removed, its members leave it, and its limits and restrictions are deleted.

Requires permission: SupplyPoint items or SupplyPoint employees → Add & edit / Delete.

How changes reach the machine

  1. The console sends the change to the selected agent.
  2. The agent writes it into the SupplyPoint database, the same way the SupplyPoint configuration program would.
  3. With the next synchronization the change comes back to the cloud and shows in the list.

Until then a Pending changes box above the list shows the status of each change:

StatusMeaning
PendingThe change was sent to the agent.
Waiting for syncThe agent saved the change. It clears with the next synchronization.
FailedThe agent refused the change (for example the record no longer exists in SupplyPoint).

If the agent is offline for more than 10 minutes, a sent change is lost and stays Pending. Order it again when the agent is back online.
